Question

How Do I Reply to a Bad Google Review?

    Last updated: November 4, 2026

Reply calm and short. Thank them, say you want to make it right, keep every private detail out, and give them a way to reach you offline. Your reply is public and shows as the business, and the customer gets notified, so write it for the next homeowner reading it, not just for the person who left it (Google Business Profile Help).

What Google does with your reply

From Google's own help page (Google Business Profile Help):

    • You have to verify your business before you can reply.
    • Google checks your reply against its content policies before it's posted. It usually takes up to 10 minutes, and sometimes up to 30 days.
    • The reply is public, it shows as your business, and your personal name isn't shown.
    • The customer is notified, and they can still change their review after reading your reply.

    A simple reply

"Thanks for letting us know. This isn't the experience we want for anyone. Please call our office so we can look into it and make it right."

That's it. Three lines. Don't argue the details in public, don't share anything about the job, the address or the bill, and don't blame the customer, even if you think they're wrong. People reading it are deciding whether to call you. A calm reply tells them more than the review does.

When to flag instead of reply

If a review breaks Google's content policies, for example it's fake, it's not about your business or it's from someone who was never a customer, you can flag it (Google Business Profile Help). Flag it, then still post a short calm reply. Don't wait to find out what Google decides.

The real fix is more reviews

One bad review hurts most when it's one of five. It hurts a lot less when it's one of a hundred. That's why we tell owners to ask every customer for a review, the same way, after every job. Reviews are one of the things we build on in our local SEO work.

    FAQ

Should I reply to a bad Google review?

Yes. Keep it calm and short, keep private details out, and offer to sort it out offline. People reading it are deciding whether to call you.

Does the customer see my reply?

Yes. Google says the person who wrote the review is notified when you reply, and they can still change their review afterward.

Why isn't my review reply showing?

Google checks replies against its content policies first. It usually takes up to 10 minutes, and sometimes up to 30 days.

Does my name show on the reply?

No. Google says the reply shows as your business, and your personal name isn't shown.

Can I edit or delete my reply?

Yes. You can edit or delete it from the reviews section of your Business Profile.

Should I reply to every Google review, even the good ones?

Yes, keep it short. A quick thank you on the good ones shows people you read them, and it makes your reply to a bad one look normal, not defensive.

Can I get a fake Google review removed?

You can flag a review that breaks Google's content policies. Google decides whether it comes down, so reply calmly while you wait.

Why does Google keep removing my real reviews?

Google filters some reviews it thinks break its policies. That's a separate problem from bad reviews, and it usually comes down to how reviews are being asked for.
